    CTech Metrology, Luc Wens

When i send an invoice now from Odoo it is being sent from Luc Wens notifications@ctech-metrology.odoo.com , can I change this so it sends is from luc.wens@ctechmetrology.com , note that this is tied to a Office365 license

    ChatGPT said:

Yes — you can absolutely make Odoo send invoices (and other emails) from your own Office 365 email address (luc.wens@ctechmetrology.com) instead of the default notifications@ctech-metrology.odoo.com.

Because you’re on Odoo Online (SaaS), this has to be done through Odoo’s built-in “Outgoing Mail Servers” using Microsoft 365 SMTP. Below is the correct, up-to-date setup for Odoo 18/19 SaaS.

    🧭 Step-by-Step: Send from Office 365 address

1️⃣ Go to the Mail server settings

    1. In Odoo, go to:

Settings → Technical → Email → Outgoing Mail Servers

(If you don’t see “Technical”, enable Developer Mode → click your name → “Activate Developer Mode” → refresh the page.)

    2. Click Create.

2️⃣ Fill in the SMTP server details for Microsoft 365

    FieldValue
    DescriptionOffice365 Luc Wens
    SMTP Serversmtp.office365.com
    Connection SecuritySTARTTLS
    SMTP Port587
    Usernameluc.wens@ctechmetrology.com
Passwordyour Office365 app password (see next step)
Priority1 (so this server is used first)

    ✅ Check “Active”

✅ Leave “Allow self-signed certificates” unchecked

3️⃣ Create an app password (if MFA is enabled)

If your Microsoft 365 account uses MFA (it almost certainly does):

    1. Go to https://mysignins.microsoft.com/security-info

    2. Choose Add sign-in method → App password.

    3. Generate one (e.g. name it “Odoo SMTP”).

    4. Copy it and paste it into the Password field in Odoo.

If MFA is not enabled, you can use your normal account password — but using an app password is safer and preferred.

    4️⃣ Test the connection

    In Odoo:

    • Click Test Connection at the top of the mail server form.

    • You should see a green confirmation “Connection successful”.

If you get an authentication error, verify:

    • The app password is correct,

    • The mailbox is licensed,

    • SMTP is enabled for your account in Microsoft 365 admin center.

5️⃣ Set the “From” email globally

    Go to:

Settings → General Settings → Email

Under Alias Domain / Default From Address, set:

    luc.wens@ctechmetrology.com

Or you can leave the global domain (ctech-metrology.odoo.com) and just set per-user senders (see next).

6️⃣ Set your user’s email address

Each user sending mail (e.g. you) must have their proper email:

    Settings → Users & Companies → Users → [Your User] Email: luc.wens@ctechmetrology.com

    7️⃣ Optional: SPF / DKIM / DMARC

To ensure emails aren’t marked as spam:

    • In your DNS zone (ctechmetrology.com), make sure your SPF record includes Microsoft:

      v=spf1 include:spf.protection.outlook.com -all

    • Optionally also include odoo.com if you still use the default relay:

      v=spf1 include:spf.protection.outlook.com include:_spf.odoo.com -all

You can check this in your domain provider (where your DNS is managed, e.g. GoDaddy, Gandi, etc.)

    🧪 After setup

When you now click Send & Print on an invoice, the email should show:

    From: Luc Wens luc.wens@ctechmetrology.com

    instead of

    notifications@ctech-metrology.odoo.com

Would you like me to make the exact SPF/DKIM DNS records for ctechmetrology.com (Office 365 + Odoo) so they’re ready to copy into your DNS zone?

That ensures Microsoft and Odoo both can send on behalf of your domain without spam issues.
